What personal information does The Rose Learning Trust hold about me or my child?
We hold information that helps us provide education, safeguard pupils, meet legal requirements and run our schools effectively. This may include contact details, attendance information, assessment data, medical information, safeguarding records and information required by law.
Why does the Trust need this information?
We use personal information to provide education, support pupil wellbeing, safeguard children, communicate with families, manage school services and meet our legal obligations as an education provider.
Do you share information with other organisations?
Yes. Where required by law or where necessary to provide educational services, we may share information with organisations such as the Department for Education, Local Authorities, examination bodies, healthcare professionals, safeguarding partners and approved service providers. We only share information when there is a lawful basis to do so.
Do you sell my personal information?
No. The Rose Learning Trust does not sell personal data.
How do I update my personal details?
If your contact details, address, emergency contacts or other information changes, please contact your school's administration office as soon as possible so we can keep our records accurate and up to date.
How long do you keep personal information?
Information is retained in accordance with our Records Management Policy and Retention Schedule. Different records are kept for different periods depending on legal, safeguarding, regulatory and operational requirements. When information is no longer required, it is securely deleted or destroyed.
How do I request a copy of the information you hold about me?
You have the right to request access to your personal information through a Subject Access Request (SAR). Requests can be made directly to your school or by contacting the Trust's Data Protection Officer.
How long will it take to respond to a Subject Access Request?
The Trust will normally respond within one month of receiving a valid request. In some cases, where a request is particularly complex, this timescale may be extended in accordance with data protection legislation.
Can I request that inaccurate information is corrected?
Yes. You have the right to request that inaccurate, incomplete or out-of-date information is corrected. We encourage all parents, carers, staff and other individuals to notify us promptly of any changes.
Can I ask for information to be deleted?
In certain circumstances, you may request that personal information is erased. However, schools are often legally required to retain certain records, particularly those relating to education, safeguarding, employment and financial matters. Each request will be considered individually.
Can I withdraw consent for photographs or marketing communications?
Yes. Where we rely on your consent, such as for promotional photographs, videos or certain communications, you can withdraw that consent at any time by contacting your school office.
Does the Trust use CCTV?
Yes. CCTV operates at Trust sites to help maintain a safe and secure environment for pupils, staff and visitors. Appropriate signage is displayed, and footage is only accessed by authorised personnel where there is a legitimate reason to do so.
How does the Trust keep personal information secure?
We use a range of technical and organisational security measures, including secure systems, controlled access, staff training, encryption, security monitoring and contractual safeguards with third-party providers to protect personal information.
How do I make a data protection complaint?
If you have concerns about how your personal information has been handled, please contact the Trust in the first instance. We will investigate concerns fairly and promptly. If you remain dissatisfied, you have the right to complain to the Information Commissioner's Office (ICO).
